Job Description

Key Responsibilities

  • Serve as the primary point of contact for customer inquiries, providing prompt, friendly, and accurate communication.
  • Enter and process customer orders with a high level of accuracy, ensuring all specifications, materials, and production requirements are correct.
  • Review purchase orders for completeness, pricing accuracy, lead times, and product details.
  • Coordinate with manufacturing, production planning, logistics, and inventory teams to ensure order fulfillment timelines are met.
  • Track orders through production and shipment, providing proactive updates to customers.
  • Manage changes, cancellations, returns, and adjustments while maintaining thorough documentation.
  • Resolve customer issues professionally, escalating concerns when necessary.
  • Maintain accurate records in ERP/CRM systems (experience with manufacturing-related platforms is a plus).
  • Support sales teams by preparing quotes, order confirmations, and product information as needed.
  • Ensure compliance with company procedures, quality standards, and production workflows.

Qualifications

  • 2+ years of customer service or order entry experience, preferably within a manufacturing, distribution, or industrial environment.
  • Strong experience with order processing, quoting, and purchase order review.
  • Familiarity with manufacturing processes, production timelines, or inventory workflows is highly preferred.
  • Proficiency in ERP or order management systems (SAP, NetSuite, Oracle, Epicor, etc.).
  • Excellent communication skills (written and verbal) with a customer-focused mindset.
  • High attention to detail and accuracy, especially with numerical data and custom orders.
  • Ability to multitask, prioritize, and manage workload in a fast-paced environment.
  • Strong problem-solving skills and ability to collaborate cross-functionally.
  • Proficiency in Microsoft Office (Outlook, Excel, Word).

Preferred Skills

  • Experience supporting B2B customers or industrial clients.
  • Knowledge of production scheduling, lead times, or bill of materials (BOM).
  • Ability to read basic product specifications or technical documents (not required but a plus).
